Your organization is now onboard Onix Work and it’s your users turn next. Here are the next steps to enable your users to onboard themselves on Onix Work
Invite your users
You may assign more users in your organization as long as you have available free licenses
An additional user in Onix Work is a user that has their own login, and can work with your equipment according to their user privileges. Additional users can only be added, edited and deleted by account admin(s).
It is important to limit the privileges of your users. In Onix Work you have a selection of relevant security roles, which will ensure that your users can do what they are supposed to do.
Make sure to have at least one Account Admin, as users with this privilege is the only one that can add new, edit and delete users within your company.
To assign privileges to a user, you must access Contacts & Users in Settings.
Privileges applies to Onix Work and all Onix applications, like Onix Inspection.
Select the user in the list and go to the tab User Privileges.
Read Only: This privilege gives the user read-only access to Onix Work. See: Read-only users
Filing controls: User can archive jobs on equipment where the user is registered as responsible.
Filing others controls: The user can file jobs where another user is registered as responsible.
Maintain Connected Content: The user can add control categories and other reference field. Users with this privilege can also accept and create connections in the Connection List. This privilege does not allow the user to create / delete / edit users.
Maintain products: The user can add new and modify existing products.
Rental Project: The user can access Rental Project module.
Order module: The user can access the order module.
Account Administrator: Account Administrator(s) can create users, and determine the rights of these. ——————————————————————-
Sign control card: User can be set as responsible on control cards
Sign certificate: User can be set as responsible for certificates.
Job verifier: User can verify jobs where the control category demands a verifier.
If the user is a controller/expert, you must also register the control categories person is allowed to inspect.
Note that if no control categories are selected for the user, they per default can inspect all listed control categories for your company.

Onix Work is a modern cloud solution for handling all work equipment having regulatory requirement compliance needs. Onix Work may be used by equipment owners, suppliers, producers and expert inspectors.
The Producer creates equipment and deliver it to the Supplier. The suppliers sell and deliver the equipment to the equipment owner. Some equipment have regulatory requirement compliance needs and an Expert Inspector may have access to the equipment to inspect it and approve it for further use. All equipment details and relevant documents will be available for all users.
What is your organizations role in Onix Work?
Be aware that you may have several of the roles in your organization. Also be aware that sometimes we may have equipment’s where roles involved are not a member of Onix Work. This role and relevant information must then be inserted manually in Onix Work by the cooperating part.
Example:
Expert Inspector performing the inspection on a specific equipment is not member of Onix Work. Equipment owner then has to create the equipment and add the documentation manually to the equipment to get it available in Onix Work.
Another example may be that the equipment owner the supplier should deliver equipment to is not a member. The supplier must then create the customer as a company in Onix Work to get correct information on the Certificate and assign the equipment and documentation to this customer. Documentation must then be delivered manually to the customer or Onix Express customer access may be used.

To be allowed to sign in to Onix Work you must have a valid user account. User account for the system administrator is created when your organization buy Onix Work. More users may be created by the system administrator. The user name must be a valid email address.
Log in to your company
To start Onix Work, go to prod.onixwork.com from your internet browser and enter your details in the logon dialogue. If you have a valid account, but have forgotten your password, use the “Click here for help logging in” link in the login dialogue. You will receive an e-mail with further instructions
Configure your user settings
All users logged in to Onix Work can edit their info via User Settings dialog
If your users linked to several contacts, updating in this dialog will synced to all your contacts.
You may add more contact info related to your user if you have system administrator access. You may also add signature and picture, change user privileges and set control categories that you are allowed to inspect. This may be changed in Settings – My Company – Contacts users

Companies
Here you can find (or register) any company you do business with See: Company module – General

All your own equipment, and any externally owned equipment that you have access to, can be listed here. Registration and maintenance of equipment and associated details and data, including Jobs and their related documentation, can be done here as well. See: My Equipment
Jobs
All started and filed jobs can be found in the Jobs module. Jobs can be modified or filed from both Jobs module, and directly on the equipment in Equipment module. See: Inspect customers equipment
Orders For supplier to quick deliver equipment with documents to customer. See: Create an order
Rental
The rental module lets you manage rental projects for your own equipment. See: Rental project
Documents
All certificates, inspections, user manuals and other documents relating to your own equipment, or external equipment that you are granted access to, can be found and displayed in this module. See: Manage documentation on equipment
Products
Here you can register and maintain Products, which are ‘Equipment templates’ used to speed up equipment registration and delivery. See: Create Product
Your system administrator can control each users access-level, which, in conformance with your company’s current licensing scheme, define which modules any user can access.
Search
Free text search will search through most fields in Onix Work. To decide which fields you specifically will search in, open “Include these areas” by clicking the ellipse button located right of the search field. When all areas are included, the search might take longer, but it will widen your search. If you for example know that you are searching after an order number, it is advised to only include “Order” to make the result specific and fast.
The Normal-tab include fields that most of the time will help you access the information you are looking for. In the Advanced-tab you can also search by supplier, document type and due date. You also have the choice to search only sub-equipment or equipment with open jobs.
If you want to export your search to Excel, access the Grid view. This is located in the upper left corner, right under Onix Work logo. Click “View”, and then Grid.
In Grid view you can include the columns you find interesting, by selecting “Setup”. The circle indicate how long it will take to search in the chosen column. You can also decide the alphabetical order of results.
To export your search to Excel, click “Export” in the upper left corner. You can also export results as different PDF files, by clicking “Reports”. You can also select equipment and move them over to Tile view, by clicking “Lookup”.
If you at any time feel like you have gone too far in the Search Filter, you can reset all search by clicking the counter clockwise circle next to the text Search Filter.
Search will always per default be empty, so if you don’t exactly know what to search for, you can click Search and get 100 random equipment. You can edit this limit in Settings.
