To be allowed to sign in to Onix Work you must have a valid user account. User account for the system administrator is created when your organization buy Onix Work. More users may be created by the system administrator. The user name must be a valid email address.
Log in to your company
To start Onix Work, go to prod.onixwork.com from your internet browser and enter your details in the logon dialogue. If you have a valid account, but have forgotten your password, use the “Click here for help logging in” link in the login dialogue. You will receive an e-mail with further instructions
Configure your user settings
All users logged in to Onix Work can edit their info via User Settings dialog
If your users linked to several contacts, updating in this dialog will synced to all your contacts.
You may add more contact info related to your user if you have system administrator access. You may also add signature and picture, change user privileges and set control categories that you are allowed to inspect. This may be changed in Settings – My Company – Contacts users
Contacts & Users in Onix Work is added in Settings. A contact is someone that is registered within your company including name, e-mail and/or what department and location the contact is linked to.
A user is registered as a contact, and is invited as a full user of Onix Work within your company. A full user can log in to Onix Work when a licence is registered on the user.
Chosen privileges are added to the user, and according to these, the user can work in Onix Work.
Contacts and users for own company is created under the Contacts & Users tab. Select “New” to create a new user. When registering new full user, please enter the name and email user should be linked to, and select Save. The place registered on “Place (on Forms)” is the text that will be added to forms when the user is registered as responsible on a archived job.
Remember to fill out the user privileges, and control categories if this is an inspector.
Once you have entered the information you need and registered the privileges of the user, select Invite as a user. This choice is located in the upper left corner.
The user will get an e-mail from Onix Work, and accept the invitation directly from the mail. The user will choose a new password for themselves, and possibly a password hint.
Add signature to user if the user is an inspector.
Onix Express is an add-on feature for suppliers and inspectors. Onix Express gives customers that are not using Onix Work themselves read-only access to documents that your company supplied to that customer. Your customers can log in at any time, from anywhere, directly from your website. Each of your customer can have 25 Onix Express users with access.
Create Onix Express User
Go to the Companies module and search for the company you wish to add users to. From Contacts tab you choose “New” to add new contact.
You must enter the name in order to save user, and you must register their e-mail in order to create an express user.
After you have saved, you will be able to invite the contact as a user.
The user will receive an email from Onix Work, stating who invited and to which company the Onix Express user can access. When the invitation is accepted directly from this e-mail, the user will create a password, can log in and find their documentation.
Invitations will expire after 28 days if not accepted. Onix Work will send two automatic reminders to the user to accept the invitation before it expires.
Invite Multiple Onix Express Users
For quick create and invite several contacts, use “Add Multiple Users” button in Companies module.
Only Name and Email of new users are required, use textboxes and button in to add your users into invitation list.
Number of new users must be less than the remaining, see counter in the bottom (limit of 25 users per customer).
Click OK button to invite all users in list. The process is same as when you create and invite each user using “New”, and “Invite as User” button.
Invite Onix Express users directly from the Order module
When processing orders against a company that is not an Onix Work customer and does not have an active Onix Express user, you will now receive a notification that allows you to invite Onix Express users directly from the order.
By choosing yes, you will get a new window where you can quickly add multiple users.
Invite Onix Express users from Onix Inspection When inspecting equipment for a company that is not an Onix Work customer, you will be able to add Onix Express users directly from the Onix Inspection upload window.
Handle Requests for Onix Express User
Customers can request access to Onix Express themselves. These requests must be handled by you as the supplier/inspector, by either approving or rejection the requests.
New requests will be visible for account admin users in Home Screen, as well as from Companies module.
Go to the Companies module and open Handle Requests dialogue. All Onix Express access requests are here.
When you select a request in list, all information will be displayed, including their Request Date, and their manual company name.
You have to select the correct Company from your Onix Work account. We recommend that you use request’s company name or org. no for search text. If there is no result, you should create the company first.

After selecting a company, you can Approve or Reject the request using corresponding buttons in the bottom.
Your approval will also send the invitation for the user in the selected request. The next steps are the same as when you create and invite the user using “New”, and “Invite as User” button.
Termination of inactive Onix Express users
Onix Express users will automatically be terminated if they have not been logged in for 1 year. Prior to termination, three system-generated email reminders are sent, 30, 14 and 7 days, respectively, before termination of user.

When two companies are both users of Onix Work, it is possible to create a connection between the two. This is especially helpful when a supplier sells equipment to an owner, or when an expert is doing inspections for an owner.
If a company connection is created, all equipment will be shared. All documentation, both old and new, is also included in the connection.
Both parties will have access to the same equipment, until the owner of equipment possibly choose to terminate the connection.
Connection list can be found in the Company module, and in Settings.
By opening Connection List, you get an overview of the connections that already exist. In front of each company name is an icon that tells the type of connection created.
You can also create, modify and delete customer connections.
If you can not select “New” in the top-left corner, or all options in existing connection is grayed out, you do not have enough privileges on your user to create and / or modify connections.
Users with the privilege “Maintain connected content” can create and edit connected companies.
Create / Deliver:
This access gives the other company the right to put your company as owner of the equipment. When a supplier puts your company as the owner, you have the equipment available in your Onix Work, with accompanying documentation. The owner of the equipment does not need to accept delivery access, this is created immideately after the supplier has created the connection. This will by default include all control categories.
This access gives the company read access to your equipment. They can not change anything, they can only see the equipment and documentation. This will by default include all control categories.
“Expert inspector access”
This access gives the company access to all the equipment you have in your Onix Work.
They will be able to see all the equipment, but they can only make changes to the equipment, according to access to selected control categories.
This access is used as an owner to share equipment with expert inspector.
To create a new connection, select New on the toolbar.
Create new connection with:
Enter the name of cooperative member company in the field. To access the selection dialog, click on the purple arrow to the right of the text field.
When the dialogue is completed, press Confirm (providing access) or Send request (request access).
If connection is created by another company requesting access at your company, the verify button will be accompanied by a Reject button.
To generate a message to the connected companies notification contact, you include this in your request.
If you request Create/Deliver access to a owner, this will per default be automatically granted

Jeg er expressbruker. Hvorfor kan jeg ikke logge inn hos forventet leverandør?
Den eneste muligheten du har til å endre leverandør, er å logge inn via unik link på leverandørs hjemmeside. Du må være sikker på at du finner riktig link på hjemmeside, og her logger du inn med ditt eget brukernavn (e-post adresse) og passord. Dersom dette ikke fungerer, kontakt leverandør og vær sikker på at du har tilgang.
Dersom du gjør dette og du fremdeles er pålogget hos feil leverandør, betyr det at du ikke logget ut fra forrige leverandør. Du må logge ut fra en portal, for å kunne logge inn i ny portal.
Jeg har lastet opp kontroller utført med Onix Inspection, men de har ikke blitt arkivert/utstyr finnes ikke i Onix Work. Hvorfor?
Når du laster opp data fra Onix Inspection, kan det ta opp til maksimum én time før nytt utstyr og utførte kontroller er registrert og arkivert.
