Keep track of original documents using Onix Source

Onix Source helps suppliers keep track of original documents and certificates from different producers, as well as delivering these documents to customers.

Onix Source finds documents from a device, and then tags each document with relevant data such as batch number, product number, etc, before uploading to Onix Work. The uploaded documents are available for use from the Orders and Products modules in Onix Work. The document may either be assigned to relevant product when uploaded or the document properties assigned to the uploaded document will make it easier to find and add the correct document to the actual product or order.

Onix Source can be downloaded from Onix Work to your PC. This is an online application that connects to your Onix Work account.

After downloading the app to your device and logging in, you are ready to start uploading documents.

  • Settings: Select relevant document folders on your device.
  • Logon: Log in to Onix Source by your account
  • Uploaded Documents Folder: Open the folder for documents already uploaded to Onix Work
  • Download Products: Download new product templates from Onix Work and refresh the product list
  • Upload Documents: Upload data and documents to Onix Work

Settings

In “Source Folder”, select the correct folder on your device containing the documents you would like to upload to Onix Work.

In “Folder for Uploaded”, any documents uploaded successfully to Onix Work will be moved to this folder, in order to help you keep track of the uploaded documents and avoid uploading one document twice.

Select “Test for Product No.”, Onix Source will verify the product number before you upload the documents to Onix Work.

Select “Move the document to the Uploaded-folder after upload”, the uploaded documents will be automatically moved to the folder you select in “Folder for Uploaded”

Upload Documents

Left pane:

  • The documents list showing all documents that you are going to upload to Onix Work.
  • Click “Refresh” on the top of the left pane to reload the documents list.

Middle pane:

  • Get a preview of the documents.
  • Print the documents.

Right pane:

  • Fill in document properties for the document to be uploaded.
  • Undo button on the top right to undo anything you fill in the document properties.

Select a document in Document list and fill in relevant data in the Document Properties pane.
Document Type and Date is mandatory; the other fields are optional.
The Document properties assigned to the uploaded document will make it easier to find the relevant document again in Onix Work.
Only one document can be uploaded at a time, not a group of documents.

Clear input fields after upload
When this is selected all data properties inserted will be automatically cleared after upload, when not selected they will remain.

Automatically connect to product
This selection is only active when a product is selected. The uploaded document will be automatically connected to the selected product when this option is selected.

Hide this document for any other company
This selection is only active when “Automatically connect to product” is selected. When this option is selected the flag “Hidden for others” will be set on the document in Onix Work when uploaded.

Select Upload button to upload document to Onix Work.

Onix Work

In Onix Work, these base documents will be available for use from the Orders and Products modules.

Products module

Select the product you would like to attach the document to.
Select Documents tab – “Document” – Onix Source – Type in the Product No. or Serial/Batch No. that you have inserted in Onix Source.

Orders module

Select the order line you would like to attach the document to.
Select Documents tab – “Document” – Onix Source – Type in the Product No. or Serial/Batch No. that you have inserted in Onix Source.
